When you upload your stock file, most stones go live immediately. However, if a stone is missing from your live listings, it has been flagged in the Missing Stones report. This explains how to find and fix these issues.
1. Access the Missing Stones Page

- Option A (Dashboard): Log in to your Nivoda account, scroll to the Inventory Insights section, and click View Missing Stones.
- Option B (Menu): Click the Menu icon > Upload Stock > Upload History. Find your specific file and click the Missing Stones report.
2. Understanding the Categories
The report is organised by the reason the stone was blocked. Click on a category name to expand the list and see the fix required:
- Invalid Stones Required information (like Price, Color, or Stock ID) is missing or incorrectly formatted.
- How to fix: Update the missing fields in your CSV/Excel file and re-upload.
- Need Cert The certificate number is missing or the system cannot reach the official lab data (e.g., IGI).
- How to fix: Ensure a valid certificate number and all grading details (Depth, Table, etc.) are included in your file.
- Price Mismatch The discount percentage and the final price in your file do not align.
- How to fix: Recalculate your price and discount to ensure they are consistent, then re-upload.
4. Cert Mismatch Your uploaded details (like measurements or weight) do not match the official lab record.
- How to fix: Use the View Certificate button next to the stone to see a side-by-side comparison. Correct your file to match the lab exactly.
5. Duplicate Stones The certificate is already listed on Nivoda or is tied to another active listing.
- How to fix: If you believe this is an error, please contact Nivoda Support.
6. Ordered / Hold The stone is currently in an active transaction or on hold.
- How to fix: No action needed. The stone will automatically reappear if the hold or order is cancelled.
3. Final Step: Re-upload
Once you have corrected the errors in your stock file based on the categories above:
- Go to Upload Stock.
- Submit your updated CSV or Excel file.
- The stones will move from "Missing" to "Live" once the data is validated.
